An eyewear order is not a single “sold and done” operation. It is a chain of several stages, and each one can become a point of delay or error: prescription, frame selection, lens selection, sending the order for production, payment tracking, notifying the customer, and collection.

In many optical stores, this process still depends on the administrator’s memory, paper order forms, spreadsheets, and phone calls to check whether an order is ready. The result can be lost prescriptions, incorrect lens parameters, customers who are not notified on time, and employees spending hours trying to find out the status of an order.

In this article, we will look at the main stages of managing eyewear orders, where the process most often breaks down, and how optical store software can manage an order from prescription to collection without requiring employees to manually control every step.

Stage 1. Customer Prescription

Everything starts with the prescription — either from an ophthalmologist or one provided by the customer.

A prescription contains the parameters that determine which lenses are suitable: sphere, cylinder, axis, pupillary distance, and, in some cases, additional measurements for progressive or occupational lenses.

Problems often start at this stage. The prescription may be stored in one place, such as the customer record or a paper form, while the order is created somewhere else. The administrator then has to manually transfer the prescription parameters from one source to another.

Every manual transfer creates a risk of error that may only become apparent when the customer collects the glasses and reports that their vision is unclear.

When prescriptions and orders are managed in the same system, the relevant parameters can be transferred directly into the order. This reduces the amount of manual data entry and helps minimise the risk of human error.

Stage 2. Frame Selection

The next step is selecting a frame. This is where inventory management becomes important: is the required model available, in the right colour and size, at this store or another location?

If an administrator can only see the total stock for an item without details about specific variants, they may create an order for a frame that is not actually available in the required version.

A more efficient process is one where frame selection is connected directly to actual stock levels. The system shows what is available in the current store and what can be transferred from another location if necessary.

Stage 3. Lens Selection

Lens selection is one of the most technical stages of an eyewear order.

Lens parameters must correspond to the prescription, while the range of available lenses can include many combinations of refractive index, coatings, and lens types such as single-vision, progressive, or occupational lenses.

Some lenses may be available in stock, while others need to be manufactured or ordered from a supplier specifically for the customer.

This is where selecting products based on prescription parameters can be particularly useful. Instead of manually searching through a price list, the administrator can work with lens options that match the customer's requirements.

This saves time and reduces the risk of selecting lenses that do not correspond to the prescription.

Stage 4. Order Details

Once the frame and lenses have been selected, the actual order is created.

At this stage, it is important to record not only the products but also the order conditions: the cost of lens processing and fitting, if applicable, the expected completion date, payment terms, and any discounts or loyalty benefits applied to the order.

If these details are kept in the administrator's memory or written on a separate piece of paper, important information can easily be lost when another employee takes over the order.

Keeping all details in the order itself ensures that any employee can see the same information when working with the customer.

Stage 5. Sending the Order to Production

If the lenses need to be manufactured or processed, the order is sent to the laboratory, workshop, or supplier.

This is a separate stage with its own expected completion time. A common problem occurs when an order has been sent to production but nobody is clearly responsible for monitoring its progress.

When a customer calls to ask about the status, the administrator may have to contact the laboratory or another employee instead of immediately seeing the current status in the system.

Stage 6. Order Status Tracking

Order management works best when every order has a clear status, for example:

Created → In production → Ready for collection → Collected

Without clear statuses, employees have to manually check with colleagues or suppliers to find out where a particular order is.

When the status is updated in the system at each stage, any employee can quickly answer a customer's question about their order without making additional calls or searching through messages.

Stage 7. Payment

Payment is not always a single transaction.

A customer may make a deposit when placing the order and pay the remaining amount when collecting the glasses, or pay the full amount upfront.

The payment structure should therefore be recorded as part of the order itself. This makes it immediately clear how much has already been paid and whether there is an outstanding balance.

This helps avoid confusion at the collection stage and reduces the need to search for payment information in separate records.

Stage 8. Customer Notification

Once the order is ready, the customer needs to be notified.

The manual approach — simply remembering to call or message the customer — becomes increasingly difficult as the number of orders grows. Some customers may be contacted late or missed entirely.

Automated notifications can help reduce this workload by sending a message when the order status changes to “Ready for collection”, depending on the communication channels supported by the business.

This allows employees to focus on customer service instead of maintaining a separate list of customers who need to be contacted.

Stage 9. Collection of the Completed Order

The final stage is handing the completed glasses to the customer.

At this point, the administrator should be able to see the complete order: which frame and lenses were selected, whether the order has been fully paid, and whether any balance remains.

Once the glasses are handed over, the order should be closed in the system rather than remaining in a “Ready for collection” status.

This keeps order records accurate and makes it easier to understand which orders are still waiting for customers.

Why the Entire Process Should Be Managed in One System

None of these nine stages is particularly complicated on its own. Problems arise when they are managed in different places.

The prescription may be stored in a customer record, the order in a spreadsheet, production status in a messaging chat with the laboratory, payment in a separate cash register system, and customer notifications in an administrator's personal notes.

This is where information gets lost. Lens parameters may be entered incorrectly, customers may not be notified when an order is ready, and checking payments can become a separate task at the end of the day.
